Your profile settings can be found in the account menu. Here you can update your display name, upload a profile picture, and configure notification preferences. Your display name is what other team members and meeting participants will see when you share recordings or collaborate in channels. You can upload a profile picture in JPG or PNG format (max 2 MB). Notification preferences let you control email notifications for meeting completions, shared recordings, and team invitations.
ReVoice supports email/password login, Google SSO, and Microsoft SSO. Your workspace admin can configure which methods are available for your organization. When using email/password, we enforce a strong password policy requiring at least 12 characters with uppercase, lowercase, numbers, and special characters. Google and Microsoft SSO provide seamless integration with your existing corporate identity. If your company uses SSO, you may not need to create a separate password for ReVoice.
If you've forgotten your password, you can reset it from the login page. A reset link will be sent to your registered email address and is valid for 1 hour. If you don't receive the email, check your spam folder. If you use Google or Microsoft SSO to log in, you don't have a ReVoice password and should reset your password through your SSO provider instead. You can also change your password from Settings if you are already logged in.
Workspace settings allow admins to manage team members, set default meeting preferences, configure integrations, and control access permissions. Each workspace can have multiple members with different roles: Owner, Admin, and Member. Owners have full control including billing. Admins can manage members and settings. Members can use all features but cannot modify workspace configuration. You can invite new members by email or by sharing an invite link.
ReVoice is fully GDPR compliant. You can request a full data export or account deletion at any time from your account settings. All recordings and transcripts are encrypted at rest (AES-256) and in transit (TLS 1.3). We never sell your data and do not use your content to train AI models. Audio is processed ephemerally by our transcription provider and is not retained after processing. You can delete individual recordings at any time, and all associated data (transcript, summary, AI chat history) is permanently removed.
ReVoice offers four plans: Free (EUR 0/month), Pro (EUR 35/month), Team (EUR 49/user/month), and Enterprise (custom pricing). The Free plan includes 10 meetings per month with 60-minute recording limit, 300 minutes of Meeting Bot, basic AI summaries, and 1 GB storage with 30-day retention. Pro includes unlimited meetings, 600 min Meeting Bot, AI Chat, Live Assistant, Knowledge Graph, Podcast Briefing, 25 GB storage with unlimited retention, and all export formats. All invoices are securely managed through our payment provider, Stripe. You can access your complete billing history and download individual invoices as PDF files from the customer portal. Invoices are generated at the start of each billing cycle and include details about your plan, number of users (for Team plans), and any prorated charges from plan changes. If you need a specific invoice format for your company, contact support.
You can update your payment method at any time through the Stripe customer portal. We accept all major credit cards (Visa, Mastercard, American Express) and process payments securely via Stripe. For Team plans, we can also arrange invoicing via e-invoice or PDF. Your payment information is never stored on our servers; it is handled entirely by Stripe under PCI-DSS compliance.
Plan changes take effect immediately. When upgrading, you'll be charged a prorated amount for the remainder of your current billing cycle. When downgrading, credits will be applied to your next billing cycle. If you downgrade from Pro to Free, some features like AI Chat, Knowledge Graph, and Podcast Briefing will no longer be available, but your existing data is preserved for 30 days. There is no binding period - you can change plans at any time.
You can cancel your subscription at any time. Your account will remain active until the end of your current billing period. After cancellation, your account reverts to the Free plan with its limitations (10 meetings/month, 30-day retention). Your data is retained for 30 days after the Free plan retention limit, giving you time to export anything important. You can reactivate your subscription at any time to regain access to all your data.
If your payment was declined, verify your card details and ensure sufficient funds. Common reasons for declined payments include expired cards, insufficient funds, or your bank blocking international transactions (Stripe processes in EUR). Contact your bank if the issue persists. You can also try a different payment method in your billing settings. If a payment fails, we will retry automatically after a few days. Your service continues during the retry period.
You can invite the ReVoice bot to any supported meeting platform (Zoom, Microsoft Teams, Google Meet). The bot will join, record audio, and automatically generate a transcript and AI summary when the meeting ends. The bot appears as a participant named '[Your Name] - Matilda by ReVoice'. All participants will see when the bot joins, ensuring transparency. You can also set up calendar auto-join to have the bot automatically join your scheduled meetings.
ReVoice currently supports three major meeting platforms: Zoom, Microsoft Teams, and Google Meet. Each platform works with our Meeting Bot that joins as a participant to record and transcribe. For Zoom, ensure external participants are allowed in your meeting settings. For Microsoft Teams, the bot works with both scheduled and ad-hoc meetings. For Google Meet, the bot supports both personal and Workspace accounts. We're continuously working to add support for additional platforms.
Connect your Google Calendar or Outlook calendar to automatically detect and join scheduled meetings. Once connected, ReVoice shows your upcoming meetings in the dashboard and can automatically send the bot to join them. You can configure auto-join preferences in Settings > Bot Settings, including which calendars to monitor, minimum meeting duration to join, and whether to require confirmation before joining. Calendar sync updates every few minutes to catch newly scheduled meetings.
If the bot isn't joining your meeting, check these common issues: waiting room enabled (the bot cannot bypass waiting rooms - you need to admit it manually), incorrect or expired meeting link, external participants not allowed in the meeting settings, or the meeting has ended before the bot could join. For Zoom, check that 'Allow external participants' is enabled. For Teams, ensure guest access is permitted. If the bot joins but you see no transcript, check that the meeting has audio enabled.
All recordings are stored in your ReVoice dashboard under the Conversations section. Each recording includes a full transcript with speaker identification, an AI-generated summary with key decisions and action items, and the original audio/video. You can search across all your recordings using keywords, speaker names, or topics. The Knowledge Graph provides a visual map of connected topics across meetings. Recordings are processed within 5-10 minutes after a meeting ends.
ReVoice supports exporting transcripts in multiple formats: TXT (Free plan), and PDF, DOCX, SRT, VTT, JSON, and Markdown (Pro and Team plans). You can export the full transcript with speaker labels and timestamps, or just the AI summary with action items. SRT and VTT formats are useful for adding subtitles to video recordings. The JSON export includes all metadata and is ideal for custom integrations. You can also download the original audio and video files.
Transcription accuracy depends on audio quality. ReVoice achieves up to 95% accuracy under optimal conditions. For best results, use a dedicated microphone or headset rather than built-in laptop speakers. Minimize background noise, and ensure a stable internet connection for the meeting. Speaking clearly and not talking over others helps the AI accurately identify speakers. If accuracy is low, check if the correct language was detected - ReVoice supports 100+ languages and auto-detects by default. You can set a preferred language in Settings.
Connect ReVoice to your Slack workspace to receive automatic meeting summaries, action items, and notifications in your preferred channels. After a meeting ends and is processed, ReVoice sends a formatted summary to the configured Slack channel including key highlights, action items with assignees, and a direct link to the full recording in ReVoice. You can configure which channels receive notifications and what level of detail to include. The Slack integration is available on Pro and Team plans.
ReVoice can sync meeting notes, action items, and contact data with popular CRM platforms including HubSpot and Salesforce (Team plan). After each meeting, ReVoice automatically detects participants and matches them to your CRM contacts. Meeting notes, decisions, and action items are then pushed to the right contact or deal record. Connect ReVoice to HubSpot to automatically push meeting notes, action items, and participant data into your HubSpot CRM. Notes are linked to the right deals and contacts so your sales pipeline stays current without manual data entry. ReVoice detects meeting participants and matches them to existing HubSpot contacts. After each meeting, a note is created on the associated contact and deal with the AI summary, key decisions, and next steps. The HubSpot integration is available on the Team plan.
Connect ReVoice to Salesforce to automatically create notes on the right opportunities and contacts after every meeting. ReVoice detects participants and matches them to your Salesforce records, keeping your CRM enriched with the latest conversation context. Meeting summaries, action items, and decisions are pushed as activity notes. This helps sales teams keep accurate records without spending time on manual CRM updates. The Salesforce integration is available on the Team plan.
Swedish businesses can connect ReVoice with Fortnox to streamline invoicing and time tracking based on meeting data. After a sales meeting, ReVoice can identify customer data, discussed products and services, and pricing - then create draft customer cards, quotes, and invoices directly in Fortnox. Everything is created as drafts that you review and approve before use. The connection uses modern OAuth standard with full encryption. This is especially useful for consulting firms, sales teams, and service companies.
ReVoice supports custom integrations and webhooks for advanced workflows. You can set up webhooks to receive notifications when meetings are processed, and use our data export features to integrate with your own systems. If no audio is being captured, the issue is typically related to microphone permissions or the meeting platform's audio settings. For the Meeting Bot, ensure that the meeting has active audio participants and that the bot has been admitted to the meeting (not stuck in a waiting room). If you are using web recording, check that your browser has microphone permission. Ensure the correct microphone is selected in your meeting platform. If the recording shows 0 minutes of audio, the bot may have joined but no audio stream was available.
Processing time depends on recording length and server load. Most recordings under 60 minutes are processed within 5-10 minutes. Longer recordings or high-traffic periods (weekday mornings in European time zones) may take up to 30 minutes. Processing includes transcription, speaker identification, AI summary generation, and action item extraction. You will receive a notification when processing is complete. If a recording has been processing for more than 1 hour, it may have encountered an error - contact support with the conversation ID.
If you're unable to log in, the most common causes are: incorrect email address, expired SSO session, browser cache issues, or using the wrong login method (e.g., trying email/password when your account uses Google SSO). If you created your account via Google or Microsoft SSO, you cannot use email/password login. Try the SSO option instead. If your account is locked due to too many failed attempts, wait 15 minutes before trying again or use the password reset flow.
ReVoice works best on the latest versions of Chrome, Firefox, Edge, and Safari. Chrome is recommended for the best experience, especially for web recording features. Some features like web recording may have limited support on Safari and older Firefox versions. We recommend keeping your browser updated. If you experience issues, try clearing your browser cache or using an incognito/private window. Mobile browsers are supported for viewing recordings and transcripts, but web recording requires a desktop browser.

During a meeting with the ReVoice bot active, you can use voice commands to create highlights, action items, decisions, and notes without leaving the conversation. Say 'highlight this' to mark an important moment, 'action item for [name]' to assign a task, or 'note [something]' to create a note. These are captured in real-time and appear in the meeting summary. Voice commands help you stay engaged in the conversation while still capturing important details. This feature is available on all plans.
